- Send: Arrival report, Customs Form C-2000 - Customs, on arrival. When: On arrival. The same blank, with Departure ticked, is the departure report.
- Port entry notice, Coast Guard Form No. 1. Blank checked 2026-10-13. Official source.
- Send: Port Regulations Act Form No. 1, general declaration - The Captain of the Port of the specified port. When: After arrival, without delay, for the entry notice. The departure notice is filed when the ship is about to depart.
- Crew list, Customs C-2065. Blank checked 2026-10-13. Official source.
- Send: Crew list, Customs Form C-2065 - Customs, on arrival. Okinawa Customs also asks for it, with passport copies, in the pre-arrival email.. When: Before arrival with the email, and again on arrival.

- Send: Application for special permission to call at a closed port, Ships Act Article 3 proviso, Form No. 2 - The District Transport Bureau for the closed port, in person or by post.
